Hotels and resorts: setting up the AI assistant
The ten steps every venue takes, with examples for this kind of venue: what to upload first, where to hang the codes and what visitors ask most.
Each video is the one the venue panel shows under “How it works” on that screen. Last reviewed: October 2026
Step 1: Sign in and find your way around
Your manager invites you by e-mail, and you choose your own password from the link. The panel opens on Overview, and every task has its own tab. What you can change depends on your role.
Venue panel training 1: first sign-in and a tour
Accept the invitation, choose your own password and find your way around the venue panel: the Overview, the tabs, what your role lets you change, and the How it works button.
Step 2: Upload what visitors ask about
The assistant answers only from the documents on the Content tab: PDF, Word, Excel, PowerPoint, text, even a photo of a price list. Give a campaign its last day, and the assistant leaves it out after that.
Venue panel training 2: documents, what your assistant knows
Upload your documents, write one right in the panel, edit it when something changes, give a campaign its end date, and remove what is out of date.
Step 3: Let it read your website every night
Enter your website, sitemap, news feed or event calendar once on the Sources tab. Changes are picked up every night, and you can approve each one first. Holidays and special days go under Brand settings.
Venue panel training 3: your website and special days
Let the assistant read your website every night, check changes before they are used, read again on demand, and add holidays and other special days.
Step 4: Put a code where people ask
Each QR point is one printed code, so the assistant knows where the visitor is standing. Place the point on the floor plan, then print a designed poster in one or two languages, or show the codes on a screen.

Add a QR point, put it on the floor plan with its facing direction, print a designed poster in one or two languages, and show your codes on a lobby screen.
Step 5: Ask it yourself first
Open your venue's page and ask what visitors ask. In the Demand report, every answer shows the documents it came from. Set the assistant's tone and the quick questions on its first screen under Brand settings.
Venue panel training 5: test the assistant and tune it
Ask your assistant what guests ask, see where each answer came from, set its tone and quick questions, and know how to stop it with Safe mode.
Step 6: See what visitors ask, and close the gaps
The Demand report shows what was asked, where, when and in which language, without identifying anyone. Asked but not found is your to-do list: add the missing place or document, then ask again.
Venue panel training 6: the demand report
See what guests ask, where, when and in which language, find what they could not find, and close those gaps; or get the report by e-mail every Monday.
Step 7: Let faults reach your team
Visitors report a fault from the code's page or in the chat, without giving their name. Managers get a notification and an e-mail at once; acknowledge the report, then mark it resolved with a short note.

How a guest reports a fault without giving a name, how the report reaches your team at once, and how to acknowledge, resolve or dismiss it.
Step 8: Bring in your team
On the Staff tab, invite colleagues by e-mail and give each one a role: Venue manager, Content editor or Viewer. Nobody sees or types another person's password.
Venue panel training 8: staff and roles
Invite colleagues by e-mail, pick the right role, send a new password link, and change or remove access when someone's job changes.
Step 9: Every visitor, in their own language
The answer comes back in the language of the question. You choose the language the page opens in, translate the names of places and points with one press, and print posters in two languages.
Venue panel training 9: languages
The assistant answers in the language of each question; set the visitor page's language, translate your names, and print posters in two languages.
Step 10: Keep an eye on the allowance
The Allowance tab shows how many questions were answered this period and how many remain; only answered questions count. Your plan and its limits are on the Subscription tab.
Venue panel training 10: allowance and subscription
Read the question allowance, what counts against it and its warning line, see where the questions come from, and find your plan and limits.
Guides for other kinds of venue
Let's set it up at your venue
We start with a short setup on a limited number of spots: we handle the setup and configuration, the venue provides the documents, and at the end we read the report of what visitors were looking for together. Scope, duration and terms are agreed in a meeting.
Before we meet: we can build a trial page from the public store or exhibitor list on your website, so you can try the assistant on your own phone with your own venue's information.
